VACATION RENTAL DAMAGE INSURANCE: As a part of your rental agreement, Suncastle Properties requires the purchase of a Vacation Rental Damage Protection Plan. The cost of this plan is $70.00 and provides coverage for unintentional damages from unforeseen accidents to the rental unit for up to $3,000.00. The Vacation Rental Damage Protection Plan is a non-refundable charge to the rental agreement. Damages caused by negligence or deliberate acts of destruction will not be covered by this policy.
TERMS OF AGREEMENT: Payments must be made in the form of a Check, MasterCard, Visa, American Express or Discover. When paying with a credit card, a 3.5% convenience fee will be charged. 50% of the total rental amount is due at time of the reservation with the remaining balance due 45-days prior to check-in. Payment-In-Full is due at time of booking for all reservations made within 60-days of check-in. If paying by check, a credit card is required to hold the reservation and a check must arrive at Suncastle Properties office no more than (7) days after the rental agreement is signed.
CANCELLATION POLICY: All reservations become binding upon Suncastle Properties receipt of the initial rental payment required at the time the reservation is made. If the reservation is canceled or changed (changes of date or switching of properties) within forty-five (45) days of your scheduled arrival date for any reason, all rental and fees paid shall be forfeited. Cancellations received prior to forty-five (45) days of your scheduled arrival date will receive a refund of all rental amounts paid less a $250.00 cancellation fee.
Trip Cancellation/Interruption Insurance is strongly recommended and available through CSA Travel Protection and other 3rd party vendors to cover most circumstances that would result in cancellation or interruption of your trip. No rate adjustment or refunds, in part or in full, will be issued due to inclement weather, including hurricane evacuations. All cancellations must be made by telephone, Certified Mail, notices sent by fax or email will not be accepted.
AVAILABILITY: Due to any unforeseen circumstance or condition which results in your reserved unit being unavailable, Suncastle Properties reserves the right to substitute a comparable property. If a comparable accommodation is not available, then guests may choose from available properties at the current rates or receive a full refund.
CHECK IN & CHECK OUT: Check-in time is 3:00 p.m. Check-out time is 10:00 a.m. Sorry, but no exceptions! We need to have time to have the property properly cleaned and inspected or in the case of Check Out, we need to prepare for the next guest. We cannot guarantee early Check-in or late Check-out requests. If a guest plans to arrive after hours or on a holiday, please notify Suncastle Properties in advance of your arrival date to arrange to obtain your keys. We are closed on Sundays, most Saturdays and major holidays. Note: Keys MUST be returned to the Suncastle Properties office, upon check out, to avoid additional fees.
KEYS & GARAGE DOOR OPENERS: All keys and garage door openers MUST be returned to the office at the end of your stay. Should you need to leave before or after hours, we have a drop box is located along the right side of the front door. Failure to return keys and openers will result in replacement charges begin applied to your credit card. Keys: $75.00; Openers: $150.00.
LOCKOUT: Guests who lock themselves out of their unit during regular Suncastle Properties business hours, may pick up a key from our office at no charge. After normal business hours, a Guest meeting a Suncastle Properties agent at the office will incur a $75.00 charge. If an agent meets a Guest at the property after hours, a $100.00 charge will be applied to the credit card on file.
VEHICLES: A copy of Guest’s vehicle registration, Names and cell phone numbers for each licensed driver must be on file at Suncastle Properties to ensure a vehicle access pass is issued prior to arrival. Note: Recreational vehicles, boats, or motorcycles are not allowed in most Sawgrass neighborhoods.
SMOKING: Smoking of any kind is not permitted inside any residence. If evidence of smoking in the unit is detected, a $500 fee for Ozonation will be charged to the credit card on file and the Guest will be deemed in breach of the rental agreement and will be subject to eviction from the premises and forfeiture of all rent and prepaid rent.
MAINTENANCE & REPAIRS: Please report all maintenance issues to our office immediately so we can take care of it for you. Call our after-hours emergency telephone number to report major appliance, plumbing or air conditioning problems. For non-emergency issues, contact the office during normal business hours. With reasonable notice, authorized agents, employees or contractors may enter the premises for purposes connected with the repair, care or maintenance of the rental unit. The guest is not authorized to call any other person or vendor to perform repairs or maintenance at the property. In doing so, the guest is wholly responsible for all monies owed for the work performed. We will do our best to have any malfunction repaired quickly, so please notify the office of mechanical failures as they occur; however, no discounts or refunds will be given for equipment or appliance failure.
PETS: Pets are welcome at pet friendly properties only upon written approval of Suncastle Properties. If a pet is approved, Guest will pay a non-refundable pet fee of $300 for the first dog and an additional $100 for each additional dog, including Service Animals, is required. Failure to disclose that an animal has been in the property, whether the animal is the responsibility of the renter or their guest, will result in a $500 fine, assessment of costs for damage, if any, and immediate termination of the Rental Agreement. Damage or Flea infestation caused by pets and “failure to disclose” penalties are not covered by the Accidental Damage Protection Insurance. Any damages to the property caused by the animal(s) will be charged to the securing credit card on file.
HOUSEKEEPING: Suncastle Properties will be responsible for all departure cleanings and inspections, No Exceptions. Upon check-in, please call our office immediately if the unit is not cleaned to your satisfaction. Our housekeeping department will correct the problem in a timely and professional manner. Housekeeping problems will not be addressed at check-out or after you return home.
MOVING FURNITURE: Guests are asked to return all furnishings back to their original place prior to check-out. Any furniture that needs to be moved back to its original place upon your departure will result in a labor fee of $100 charged to the credit card on file.
SHOWINGS: Occasionally, the unit you are renting may be shown by an Agent for future occupancy. We will contact you prior to the showing, in most cases up to a 24-hour notice. Failure to allow such showings will put the resident guest in violation of this agreement.
GARBAGE: Garbage must be placed in plastic bags, tied securely, placed in the garbage receptacle in the service court or dumpster. Please see specific details regarding garbage and recycling collection requirements for your property.
THE STATE OF FLORIDA REQUIRES DISCLOSURE OF THE STATEMENT BELOW PRIOR TO TAKING PROCESSION OF A RENTAL PROPERTY.
RADON GAS: Radon is a naturally occurring radioactive gas that, when it has accumulated in a structure in sufficient quantities, may present health risks to people who are exposed to it over time. Levels of radon, which exceed federal and state guidelines, have been found in buildings in Florida.
LEAD PAINT: Every tenant should be advised that any real estate property to which a residential dwelling was built prior to 1978 is notified that such property may present exposure to lead based paint that may place young children at risk of developing lead poisoning.
AGENCY DISCLOSURE: A1A Coastal Ventures, LLC. d/b/a Suncastle Properties of Ponte Vedra Beach is the owner’s agent.
NOTICE: As a renter of the premises, the undersigned certifies that they were provided with a copy of the foregoing notifications at the time of or prior to the execution of the rental agreement or lease.
