Rental Policies

Suncastle Properties works hard to ensure everything in your rental home works properly, that it is clean upon your arrival, and that you have everything you need. We want to make sure that you have the best vacation rental experience possible; so be sure to let us know if we can help with anything!


Rental Guest Responsibilities: The rental guest is responsible for payment, deposits, property damages and all responsibilities spelled out herein and in the Rental Agreement. The rental guest's primary residence address and email address will be used for all notices and correspondence. Please be sure to read your contract very carefully. Only the Signee of the Rental Agreement is allowed to check in and receive keys.

Once you have entered into a contract to rent a property, you are binding yourself to that property for that time. There should be no expectation of compensation or relocation because you don't like the property or because something in the property isn't working to your satisfaction. We will make every effort to correct any malfunctions or problems encountered, but refunds should not be expected.

Suncastle Properties reserves the right to cancel a confirmed reservation (with good reason) at any time prior to the leaseholder taking occupancy of the property. In the event this should occur, Suncastle Properties will refund all monies on account.

Keys, Gate Passes, Garage Door Openers: All keys, gate passes and garage door openers must be returned to the Rental Office at the time of departure. Should you need to leave before or after hours, we have a drop box at our office for these items. Failure to return these items will result in replacement costs being charged to your credit card.

Amenities: All of our properties feature standard household items including cable or streaming TV, central air/heat, microwave, coffee maker, toaster, pots and pans, dishes, utensils and glassware. Contact our office to report broken or missing items, many of these items are kept in our inventory and can be replaced during your stay.

Unique and specific equipment and/or amenities for each property are listed in the individual property descriptions located on our website. Hot tubs, additional TVs, VCRs, DVDs, deck furniture, recreational games and equipment, and similar items are furnished as a courtesy by the owner and are not guaranteed by Suncastle Properties.

NOTE: Every effort has been made to ensure total accuracy of the property information on our website and brochures; however, it is not guaranteed. We make every effort to accurately describe each property via pictures, descriptions, pricing and a knowledgeable staff. However, matters of personal taste, style and quality may vary from unit to unit and property descriptions, contents and rental rates are subject to change without notice.

Parking: Parking requirements vary by property and local governments impose stiff fines if parked improperly. No Parking is allowed on streets, lawns or dunes. Parked cars may not impede emergency vehicle access at any time. Check with your Reservationist about parking restrictions for your specific rental property.

RVs, campers, and trailers are not permitted on the grounds of any property at any time.

Smoking: No Smoking of any kind is permitted inside ANY rental property. If evidence of smoking in the unit is detected, a $750 cleaning and ionization service fee will be charge to the Guest. This policy is STRICTLY ENFORCED and IS NOT covered by the Accidental Damage Protection fee.

Maintenance & Emergencies: All equipment in each property should be in working order when you check in, but things do break down unexpectedly! Please report any inoperative equipment or problems to the office immediately so we can take care of it for you. We will make every effort to eliminate any problems, replace a broken or missing item, or have repairs made as soon as possible.

After-hours maintenance problems, call our office to report major appliance, plumbing, or air conditioning problems. An agent will dispatch emergency concerns. Non-emergency issues, will be addressed the following business day. With reasonable notice, authorized agents, employees or contractors may enter the premises during normal business hours for purposes connected with the repair, care or maintenance of the rental unit. We will do our best to have all repairs made quickly, so please notify the office of any housekeeping or mechanical failures as they occur; however, NO DISCOUNTS OR REFUNDS WILL BE GIVEN FOR EQUIPMENT OR APPLIANCE FAILURE.

Housekeeping: Suncastle Properties goal is to provide you with clean accommodations and we work hard to make sure that your house is ready for your stay. Upon check-in, please call the office immediately if the house is not cleaned to your satisfaction. Our housekeeping department will correct the problem in a timely and professional manner. Suncastle Properties cannot be held accountable for problems we are not made aware of. Housekeeping problems will not be addressed at check-out or after you return home.

Each property is supplied with bed linens, bath and kitchen towels and bath and kitchen amenities, so everything will be ready for you to kick off your shoes and relax! Our housekeepers will clean the rental unit after you check out. Additional cleaning services during your rental period may be arranged at an additional charge. At the end of your stay, please be sure that all linens remain in the property. You need to take out all garbage, wash and leave all dishes, utensils, etc. clean and ready for the next renter and return all furniture to its original location to avoid additional housekeeping charges.

Damage and Unauthorized Use: Guests will be responsible for any property damage over and above normal wear and tear, property theft and unauthorized use of the property during the contract period. Please report any damage at Check-In or upon occurrence. Our inspectors walk through each unit after Check-Out to ensure that the property is left in good order. Suncastle Properties requires Accidental Damage Protection ($70 non-refundable) which will cover accidental damage to the property up to $3,000, excluding damage or flea infestation caused by pets (see Pets:). Accidental damage is defined as unintentional damage from unforeseen accidents; it does not include loss or damage resulting from intentional acts, gross negligence, willful and wanton conduct, or damage or loss caused by a pet or other animal brought onto the premises by the leaseholder, the leaseholder's family, or invited guests.

Intentional damage and all damage in excess of the deposit limits will be charged to the Credit Card used to secure your reservation. Additional charges not covered by the Accidental Damage Protection include, but are not limited to, exceeding occupancy limits, unauthorized phone charges and smoking inside the property. Neither the property owner nor Suncastle Properties are responsible for the loss, theft or damage to Guest's personal property.

If damage occurs during your stay, be sure to call the office right away so we can address it.

Indemnification: Guests agree to defend, indemnify and save free and harmless the individual homeowners and Suncastle Properties and A1A Coastal Ventures, LLC, and its employees, for any liabilities or any loss or damage whatsoever arising from, related to, or in any way connected with the rental of the premises, including, but not limited to, any claim or liability of personal injury or damage or loss of property which is incurred or sustained by the Renter or other guests at the property.
